    Agreement of Collection and Usage of Personal Information

     1. Purpose of the Personal Information Processing KMROcon 2024 collects and uses personal information provided by registrants for the purposes of personal identification and future event notifications to ensure smooth operation of the event. The collected personal information will not be used for any purpose other than those stated, and prior consent will be sought if the purpose of use changes.

     

    2. Collected Information-Required Information : Name, Company / Agency, Company Address, E-mail Address, Cellphone Number, Position

     

    3. Retention Period of Personal Information-1 year after the event-Personal information will be destroyed 1 year after the termination of the KMROcon 2024 Conference

    Exhibition Terms & Conditions

     1. Definition of Terms

    A. “Exhibitor” refers to the person, company, institution or group, which has completed the payment under the stipulated contract for taking a stand at this Exhibition.

    B. “Exhibition” refers to Korea MRO Conference 2024(KMROcon 2024), scheduled to take place from November 12th (Tuesday) to November 13th (Wednesday), 2024. The event schedule is subject to change based on military/governmental circumstances.

    C. “Organizer” refers to Defense MICE Institute.

    2. Exhibition Participation

    A. Application

    Those wishing to apply for participation in the exhibition must complete the application form and submit it to the organizer. Exhibitors must pay 100% of the participation fee within 3 days of receiving the invoice. The application and contract are considered complete upon full payment of the participation fee.The Organizer reserves the right to cancel Exhibitors' participation within 15 days after the verification of the Application Form for the following reasons : Unavailability of booth space. / Unsuitability of exhibits for the exhibition.

    B. Payment

    Full payment must be settled entirely within 3 days following the issuance of the invoice. If a Exhibitor fails to pay the participation fee within the designated period, the Organizer may terminate the participation agreement. In case of non-payment of the participation fee, equipment support costs, or other miscellaneous expenses, the Organizer may optionally seize the Exhibitor's exhibits until full payment is made.

    C. Cancellation of Participation and Penalty

    In the event that an Exhibitor cancels the use of all or part of the Exhibition space they have applied for, the Exhibitor must immediately notify the Organizer in writing of the cancellation or changes. If a Exhibitor cancels their participation or reduces the scale of their involvement after submitting the participation application and contract, they must pay the Organizer a penalty fee as stipulated below within 15 days of communicating the relevant information. The already paid participation fee will be deducted from this penalty fee. If the paid amount is insufficient, the Exhibitor must pay the difference; if there is a surplus, it will be refunded. No interest will be paid on refunded amounts.

    Penalty for reducing scale: Cancelled area × Participation fee × 100%

    Penalty for full cancellation: Full participation fee will be charged as penalty

    - If the 'exhibition' is cancelled or postponed due to unavoidable circumstances such as natural disasters, and the Exhibitor incurs financial losses as a result, the Exhibitor may cancel their participation in the exhibition. In such cases, the Organizer will refund the exhibition participation fee, excluding costs already incurred or invested.

    Unavoidable circumstances: Reasons designated by the government, such as natural disasters, national crisis situations, pandemics, etc.

    3. General Regulation

    A. Management of Exhibition Hall

    Exhibitors must display the exhibits specified in their application form and assign staff to manage their booth effectively. If the Exhibitor displays items not listed in the application or if displayed item does not fit the nature of the exhibition or conducts direct sales without approval from the Organizer, Organizer can request to stop, withdrawal or dismantle. This case, participation fee is not refundable, and Exhibitor may not ask for compensation. Exhibitors may not transfer, resell, or exchange all or part of their allocated exhibition space with others without the Organizer's official consent.

     

    B. Exhibitors

    The Exhibitors shall comply with all the rules and instructions, including the InLEX KOREA 2024 Exhibitor Manual. Exhibitors shall also be responsible for any damage caused by their employees, contractors, or agents. During the build-up, dismantling or Exhibition period, in case facilities of the exhibition site are damaged by exhibitors, the damage will be compensated.

    C. Liability and Insurance

    Exhibitors are liable for any damage caused to building floors, walls, or column to standard or rented booth equipment and to other any other exhibitor’s property. Exhibitors also take the responsibility for the damage caused by their employees, contractor, or agents. If damages are caused by an Exhibitor, he/she will be responsible for compensation. The Organizer will check the amount of compensation and charge the Exhibitor accordingly. Although the Organizer will take all measures for the safety and security of Exhibition venue and surrounding area during the build-up, dismantling and exhibition periods, Exhibitors must ensure not only against physical injury, but also property loss, including fire loss and theft. Organizer recommends all Exhibitors to hire security to prevent theft of exhibits for day and night, during the build-up, dismantling, and exhibition periods. In addition, Organizer recommends Exhibitors obtain adequate insurance.

    E. Electricity / Fire Precaution and Safety

    Due to the characteristics of the exhibition hall, 1kW of electricity is provided per booth. Any additional power requirements must be arranged separately. All materials used in booth construction and within the exhibition hall must be properly fireproofed in accordance with fire safety regulations. Cooking activities and the use of heating appliances are prohibited. The Organizer may request Exhibitors to make corrections related to fire prevention as necessary.

    F. Heavy Exhibit Entry and Noise Prevention

    The entry of heavy exhibits into the exhibition hall must not exceed 500kg/, and noise levels must not exceed a maximum of 65dB when measured at a distance of 1m from the source of the noise.

    G. Removal of Waste Material

    The Organizer must arrange to clean the exhibition hall during the exhibition period to maintain cleanliness. The Exhibitors must handle waste and garbage generated during booth setup and dismantling. If waste or garbage is left in the exhibition hall without being properly disposed of, the Exhibitor must pay the Organizer for all costs incurred by the Organizer for its disposal.

    H. Exhibit Entry / Removal

    Exhibitors must bring in and remove all exhibits and fixtures within the period designated by the Organizer. Any costs incurred due to delayed removal will be borne by the Exhibitor.

    I. Addtional Regulation

    The Organizer may, if necessary, establish supplementary regulations not specified in these exhibition rules. In such cases, the Organizer must notify the Exhibitors.

    J. Dispute Resolution

    Disputes arising between the Organizer and the Exhibitor regarding the interpretation of the Terms and Conditions or other disputes concerning the rights and obligations of both parties shall be resolved through arbitration by the Korean Commercial Arbitration Board, and the arbitration decision shall be final and binding. Parties agree not to bring such disputes before a court of law
